Introduction The ionmy system uses checklists at various places in the system to help ensure that crucial steps of your processes are not missed. These include: Accidents/Incidents Risk Assessments Hazards Employees Suggestions/Complaints Community Accreditation Evidence
Introduction A checklist is: A series of Steps to follow and check off when completed
Multiple Checklists Each area can have multiple checklists Example: Staff Induction checklist – Steps to follow when inducting a new employee. Termination checklist – Steps to follow when a staff member leaves. Example: Incidents Staff Incident checklist – Steps to follow when an incident involving a staff member occurs Resident Incident checklist – Steps to follow when an incident involving a resident occurs
Setting up checklists To set up a checklist, you first need to give the checklist a name. We call this a Checklist Category. This is done in My Settings> Definition Fields> Drop Down then choosing the Checklist Categories link in the appropriate section e.g Staff Enter a descriptive name and the order in which it should show in the list then press the Add button
Setting up checklists Go to My Settings> Definition Fields> Checklists Select the Area for which you wish to edit checklists, e.g. Employee Select the Category that you just added Add checklist items by filling in the sequence (Order) field and the checklist text (Activity), then clicking the Add button. Its a good idea to leave gaps in the sequence (e.g. 10,20..) to make it easier to insert items later
Using a Checklist A checklist entry relates to a particular Employee, Incident, Hazard etc. In the relevant part of the system e.g. My Workforce> Personal Details for staff, Select the item (staff member) from the list and then select the Checklists tab Choose the Checklist that you want to work through If you just wish to use the checklist to tick off entries when done, check the completed box and SAVE once each item is completed. OR edit the entry and set a followup date Create an action for an entry to ASSIGN the activity to some other person
