Ad Hoc Reports Chris Curtis CTO, Thoughtware
Introduction The ionmy system provides a flexible reporting system. We have integrated a third party tool called Izenda which is the reporting engine. The system comes with a number of standard reports which you can modify, or you can easily create your own.
Types of Report Users The reporting system has 2 types of users Report Administrators Can create, edit and delete reports Report administrators do not have to be system administrators, although in practice this is mostly the case Report Viewers Can view reports created by others
Running Reports To run a report, go to the reports list at My Reports> Reporting and click on the name of the report It will show in HTML (web) format. You can download the results in a different format by choosing from the Export Type list and pressing Export button
Editing an Existing Report Introduction To edit, you must be a Report Administrator Click on the Edit button on the report list to enter the Report Designer Reports can have 4 parts Table of Details (controlled by Fields tab) Summary table (controlled by Summary tab) Chart (controlled by Charts tab) Gauge (controlled by Gauge tab) – We don’t use these You can change the order of the parts on the Style tab Most reports have only 1 and sometimes 2 parts Reports have a Title, a Description which is displayed below the title, and can have headers and footers.

Editing an Existing Report Fields First tab shown is Fields. This determines which columns are shown in the Table of Details. Here you can select a field from the available list, change the column title, the sort order Click on the Preview button or Preview Tab at any time to view the impact of your changes. Press the Save button to save your changes. If you are modifying a Standard ionmy report, you must use Save As, and save with a different name, otherwise your changes will be overwritten when the software is next updated.
Editing an Existing Report Filters Filters narrow down the data to be reported on Choose the Field/Operator/Values that you wish to filter on. Multiple filter lines have an implicit AND between them, although you can force an OR by using the “Use Previous OR” Operator Commonly we wish to filter by date and there is a useful operator “In Time Period” which allows us to choose periods like This Month, Last Month, Last Quarter, This Year, etc The Blank checkbox tells the system to include records where the field is blank as well those matching the criteria The Param checkbox allows this filter to be changeable by the person running the report.
Editing an Existing Report Summary Controls the Summary part of the report Useful for providing a summary of data shown on a Chart, including counts and totals
Editing an Existing Report Chart Provides for different types of charts Pie Bar Trend (Good for year on year comparisons once you have enough data) Label is the field you want to Chart Value is usually Reference ID since this is a unique value that you want to count
Editing an Existing Report Misc Set the report’s title, description. Must be Shared if other non-admins are to see the report Note the SCHEDULE function which will automatically email the report to the recipients according to the schedule

Creating a New Report Click on DesignANewReport at the top of the Report List page You must choose the source of data Then the rest is as per editing a report. Often though, a good way to create a new report is to edit an existing report and save with a new name
