When the phone system was invented over 30 years ago things were different. Everyone when to work at the same place, at the same time, there were no cell phone, not Internet and no PC. Times have change but we still think of our phone solution as being about one location where a specific number of copper line come in and specific phone numbers ring. Everything we do with our phone system is about what happens once the call has arrived at that location and it assumes that the call will remain at that location. Has this kind of thinking been limiting what your phone system and your phone company?

Another dramatic change we have undergone since the phone system was invented was the advent of the PC and the Internet. With few exceptions these monumental changes were not adapted by the phones systems vendors. While it is true that some of the more modern systems can connect between offices they do this with expensive point to point connections and still receive their phone service over copper lines creating a single point of failure for the entire company.

30 years ago you would find the typical business doing all of it work in one location on a fixed 8 hour work day. There was little outsourcing, few branch locations, no cell phones or Internet to connect operations together. This has changed and now most companies have multiple locations, remote call forward calls from other areas, have toll free numbers and outsource parts of their operations. These changes in how we conduct business were not matched by changes in phone system technology.

12% of the US population works from a home office at least part of the time. Traditional phone systems have a difficult time integrating these users as extensions. Even the most modern of these systems with VoIP extension still require a phone line at the office to be consumed as well as another Internet call when some at home is called.

It must bother the owner of a business to consider that they pay for phone lines, a phones system, and expensive business phones. They then pay for cell phones and the expensive cell phone minutes for that same employee. What typically happens is that the employee forwards their desk phone to their cell phone and then receives call right in the office on their cell phone. This requires an inbound line, an outbound line and cell minutes to be consumed just for one call. Other employee will actually put their cell numbers on their business calls cutting the phone system out of the loop all together. With more than 50% of all business call going to the cell phone the lack of good integration of these devices not only doubles the cost of the typical business phone bill but also leads to a lack of call management and routing provided if the phone system we to be in to loop and decide where the call should go depending on your location, time of day and other factors. Once you bypass the phone system you lose the ability to get to other extensions and resources. You could say that the traditional phone system lost half of its value through poor adaption. You can also see that the carriers that provide both land and cell have a vested interest in keeping things this way.

This is perhaps on of me least liked changes. Somehow thanks in part to the cell phone we now seem to have a non-ending work day. People call us at night, at dinner on vacation and we take that calls. The phone system has lost control of these calls as well because the circumvent the calling logic of your company which can direct people to the correct after hours resources.

You can set up Find-Me / Follow-Me many ways. Here is how mine is setup: I have a home office as well as a corporate office but most of the time I am traveling. When you call my business number it rings at home, at work and on my PC phone at the same time. If I do not pick it up within 15 seconds it rings my cell phone and then sends it to my corporate voicemail if I do not answer the cell phone. I even have a separate number for personal calls and gave my wife a number that goes to her cell phone and voice mail (which was a big relief to me).

Some traditional phone systems can send your voice mail to your email but it is very complicated and expensive requiring a special on site server with hard disks that can crash. This server must them be integrated with your email server which usually turns into a very complicated installation. We have simplified all of this by keeping the voice mail in a secure data center with its own email service that simply emails your voice mail. You can still get your email the old fashioned way by pushing the messages button on your phone or by calling in to your voice mail box but once you realize the power of having you voice mail in your email you will never want it any other way. For example: Lets say you get a long message about something that is really someone else responsibility. You can forward the message to them through email. You can share a message with many people at once. You can put a message in a related project folder in your email. If you have a sister that leaves long messages like I do then you can skip ahead with your mouse to get to the point. You can even back up and hear that number again without listening to the entire message. Even a year later when that law suit comes in you can search on the phone number and retrieve that message and bring it to court. This is a must have feature.

I don’t know about you but for years I have been adding names and numbers to my Outlook contacts and every time I look up a number I would ask myself since my PC knows the number why doesn’t it tell my phone to call it? Why do I have to memorize from the screen and then type it into my phone every time I make a call? We fixed this problem with a right click and dial from outlook contacts

While these features are all possible with an Internet Telephony Solution certain approaches do not work as well as others and there are some possible pitfalls to consider when choosing a solution

While we welcome all of the advertising and awareness the residential services are providing our industry and we agree that these cut rate services can be a good solution for a home user we do not recommend them for use in a business. There are two reasons for this. The first reason is that these services are mimicking residential line and do not provide business functions such as extensions, ring groups, menus etc. The second and most important reason is that these services use the public Internet but do not monitor whether or not their service is operational. They make you call them, wait in a long queue (usually oversees and difficult to understand), they have no tools to diagnose the problem so they walk you through a script of things to try and then give up. If you want to save money on a call to your grand mother in Germany and you drop a call this is ok you know her number and can call her back. In business every call is a reservations, a sale, a service issue. If your phone service can not deliver the call you lose. OK for the home but business needs a Business Grade solution.

You can imagine that phone companies would want to respond somehow to this Internet Phone solution so they came up with a solution of their own. It is called the hosted solution. While a hosted solution looks nice and clean with the phone system across the Internet this architecture turns out to be very problematic. First of all many organization make 50% of their phones as intercom calls in the building. In the past this had no impact on the outside resources but in the hosted model even internal calls must be switch across the Internet. This means that a phone in one part of the office is going to place a call across the Internet to the PBX and then then PBX is going to make a second call back across the Internet to the other phone in the same building. This means two of your talk paths are being consumed over the Internet on a call that is between two parties in the same office. If half of your calls are Intercom calls then this means that 67% of your talk paths will be consumed by these calls leaving you with only 1/3 of you talk paths for outside calls. Another issue Is call quality. Without a local switch to manage the network traffic anymore than three phones together begin to create networking problems requiring their own private network circuit back to the PBX and within your office. This is very expensive. If you add to that the per seat pricing for the use of this type of system it can cost more than twice what you should be paying. Of course the traditional phone company has no interest in making anything cost less than it does today. Despite the conflict of interest I think there is another reason they have taken this flawed approach to Internet Phone service. After deregulation the traditional phone companies found themselves unable to compete with the phone systems and interconnects that came on to the market. They made a decision to withdraw to the D-Mark where the lines enter the building and laid off all of the inside people they had. Every solution since then has been hosted. Voicemail, Caller ID, Centrex. They got out of the premise and want to stay out. The only reason I can come up with for applying that old thinking to this new technology when it is clearly not good architecture is that they can not undo their old thinking. It is the same thing that happens when you train a flea circus. Does anyone know how that is done? (pick up a cup or glass and place your hand over the top) First you need to catch some fleas off of a dog or cat. Next you put them in a jar about 4 inches tall and close the lid but leave some air holes in the top small enough they can not get out. For the first day and a half you will here them thinking their little heads in the bottom of the lid and then hey will stop hitting the lid and jump just high enough to miss the top. Now you can take the lid off and they will never jump out. You can create a little circus arena and the fleas will jump around inside and never leave. As much as we would like to think that we people are different from those fleas I suggest that the traditional phones companies are designing new systems based on things they ran into 30 years ago that no longer apply. That is the only reason I can see for this type of design.
