SAM Portal can easily be accessed at anytime, from any device - simply by using a Web browser. From the moment it is launched to the completion of a process, you are guided through the system. For example, John has been asked to support the Project Team and requires Microsoft Project to be installed on his device.

John launches SAM Portal and uses the pre-authorised Software Catalogue to search for the required product.

Once the product is located and selected, John is then asked to specify which PC the software needs to be deployed on. By simply selecting the ‘Add My Device’ button, John’s device name, model, operating system and business unit are immediately appended to the request.

On confirmation of the PC, John is then asked to specify the reason for the request and identify who will approve his requirement.

John will then review the request details and submit the request. An email is then sent to his Line Manager requesting approval and a confirmation email is sent to John as a receipt for his request.

John’s Line Manager receives an email notification and is re-directed to the SAM Portal, where all requests that require attention can be viewed. The Line Manager can then either Approve, Decline or even Reassign the request to another Manager.

The Line Manager then accepts the request and a confirmation is emailed to John.

With the approval process now completed, the Licence Manager is notified that a request has been authorised. Using SAM Portal, the Licence Manager reviews the current compliance status of this product and decides whether a licence is available or is in need of purchase. On confirmation, an email notification is forwarded to the Help Desk instructing the Systems Administrator to deploy the software.

If a licence surplus exists in another Business Unit, the Licence Manager can also instigate and manage a transfer of licence. SAM Portal controls the transfer process between Business Units or Cost Centres and ensures that all transfers are correctly approved.

If the Licence Manager confirms that a purchase is required, the Procurement Team is then notified so they can fulfil the order process. On completion, all purchase history and licence evidence is instantly archived within the system and the entitlement is then automatically allocated to the relevant device.
